Waived Charges

Use the Waive button to forgive unpaid rent, late fees, move-in charges, or one-time charges without recording returned cash.

Overview

Waived charges are for unpaid balances that should no longer be collected. A waiver reduces what the renter owes, but it is not a payment and it is not a refund.

Use Waive when a rent charge, late fee, move-in charge, or one-time charge should be forgiven. Use the End Rental or Cancel Rental refund fields when money was already collected and is being returned.

Where To Find Waive

  1. Open the rental detail page.
  2. Scroll to the Rental Ledger.
  3. Find the ledger row with the unpaid balance.
  4. Choose Waive in the Action column.
  5. Select the charge to waive if the row has multiple unpaid charge types.
  6. Confirm or adjust the Amount to Waive.
  7. Add a reason when helpful for audit history.
  8. Choose Waive Selected Charge.

When To Use Waive

  • An unpaid rent balance will not be collected.
  • An unpaid late fee is being forgiven.
  • An unpaid move-in or booking charge should be removed from the balance.
  • A one-time charge was added correctly but later forgiven.

How Waivers Affect The Ledger

Waivers reduce the affected charge amount before the remaining balance is calculated. The ledger can still show the original charge, paid amount, waived amount, and remaining amount.

A fully waived unpaid charge no longer contributes to Open Balance or Past Due Amount. A partial waiver leaves the unwaived remaining amount open until it is paid or waived.

Refunds Versus Waive

  • Refund: money was collected and is being returned.
  • Waive: money was not collected, and the renter no longer owes the unpaid amount.
  • Refunds affect net collected payment amounts. Waivers affect charge balances.
  • Paid amounts should be handled through lifecycle refund fields so cash collections and revenue remain auditable.

Common Questions

  • Is Waive the same as a refund?No. Waive forgives an unpaid charge. A refund returns money already collected.
  • Does a waiver count as revenue?No. A waiver is not cash collected.
  • Can I partially waive a charge?Yes. Enter a smaller Amount to Waive when only part of the unpaid balance should be forgiven.
  • Why is the Waive button disabled?The row has no unpaid charge balance available to waive, or your role/session is read-only.
